Plan, direct and coordinate expediting items for Deepwater project i.e. valves, pumps and etc. in the procurement department
Also plan and manage management activities of an organization to maximize the strategic Contract Below 10 Million for Production Sarawak & Sabah Location.
Essential Duties and Responsibilities: -
Ensure that materials ordered are delivered as per the required date or earlier. Ensure that vendor submit necessary documents on time for review/approval (where
necessary). The document includes VDML, Engineering drawings/documents, Un-priced PO, Production Schedule, progress report, packing list & invoices and etc.
Liaise and communicate with vendors, suppliers and principals, domestically and internationally.
If vendor is experiencing delays, initiate discussion to establish cause of the delays and recommend improvements steps. Discuss such improvement steps and the causes of the delays with the vendor’s higher management.
Determine what shipping documents are required and check with the vendor if he has prepared all such shipping documents. Ensure that the vendor and/or the shipping agent have forwarded all such shipping documents to the end-user and/or his designate.
Determine if the vessel departure date augments well with the scheduled completion date and the expected arrival at the end-user’s site.
Establish departure time of the vessel (ship, airplane, truck, etc) and report this to the end-user.
Data entry of PO’s item details, update expediting information & delivery status (including expected delivery) into Expediting Report and distribute the Expediting Report to end-users / engineers on weekly basis.
Arrange and conduct regular (weekly / bi-monthly) expediting progress meeting with end-users / engineers.
Assist in clerical tasks as and when required.
