Front Desky Employee log in processy You can Reserve, book/Check in or checkouty Reserving a Room

y Click on Reservation/Check in buttony Complete guest data sheety To Choose a room click on Pick Room buttony Then click on Book This Room buttony To make a deposit click on Pre-pay Room buttony Enter the amount, then select the payment methody Receipt is automatically generated.y The reserved room has just been paid for.y Print Reservation Report for the client.

y Click on Reservation/check in button

y Select Guest Credit Card/Guest Identification buttony Capture guest personal information as shown

y Go back to Reservation screen

y Then click on Room Check in button

y Room is now occupied

y Click on Check out button

y Then Click on Load Folio buttony Select the customer you want to check out

y Then click on Room Check Out button

y Click on Print Folio for customers invoice

y Get customer to sign the Folio before leaving.y Note that all outstanding bills on the folio of non-credit

customers must be paid before check out can besuccessful.

MANAGER FUNCTIONSy These are tasks that the Manager has to do so that other

members of staff could perform their roles. They include:y Define Employees Add, Modify or Deletey

Assign room tab names Default 14 Room Tab namesy Define room types Three price levels & four discount notches.

Effectively seven price levels.y Define rooms Assign room number, linking it to room type.y Assign rooms to tabs The numbered rooms are placed in tabsy Miscellaneous definitions Configure Front Desk, Receipt Printing,

Printers, Manager, Password and Room Taxes.y Schedule employees Periodically schedule staff for daily, weekly or

monthly rolesy Approve clock out Requires that cash drawer be checked before

clock out.




MANAGER FUNCTIONS (contd.)y Remove closed folio Folios closed by clerk can be

modified by deletion. This must be done before posting

Open closed folio After posting folios, you cannot reopena folio.

y End of day processing Enables you to close cash drawer,post room sales, View pre-post cash out data, Print pre-post sales report and the Z-Reports.

y Hotel Reports Print reports relating to Hotel operations.

y Assign Employee Card Number Encrypted Cardscontaining personal data of staff. Pin number included
